As part of a feedback webinar with the VINCI Construction project team (French version only), Alexandra Pansier (HRIS Manager – Training Domain) and Laetitia Gintrac (TMS Administrator) shared the key challenges of their Oracle HCM Cloud project and explained how the Shortways Assistant helped them address them.
What were the context and key challenges of the Shortways project?
In July 2021, we identified a need for contextual support for the Personnel Administration module of our HRIS and started exploring the Shortways solution, with a quote validated as early as January 2022.
The first implementation took place in autumn 2022.
A year later, in September 2023, we extended Shortways to the Training module following positive feedback from the first use case.
Now, after 3 years, we’re still using the tool and plan to deploy it in other countries such as Poland by June 2026.
What issue was Shortways designed to solve?
Despite our change management efforts — including tool training and documentation — resources were not referred to when users needed them most.
We required contextual support, delivered directly within the tool at the exact moment users were taking action or entering data.
Why did this issue arise?
Laetitia: Despite training efforts — somewhat disrupted by COVID — we faced difficulty ensuring procedures were followed in a decentralised, constantly evolving environment, with high turnover and multi-role users (e.g., a Payroll Manager who also handles training, but only once a year, or regulatory certification follow-ups).
Why did you choose Shortways over another solution?
Our IT department confirmed its compatibility with SaaS environments.
From a functional perspective, the ability to deliver contextualised support without disrupting processes was particularly appreciated.
There was no formal tender: the solution was known, tried and tested, with positive feedback.
What methodology did you adopt to implement Shortways?
We rolled it out in phases: first to Personnel Administration in 2022, then Training in 2023. We mainly created help bubbles targeting either critical or infrequent processes.
The system is currently limited to France and French language, with nearly 800 HR-type users: payroll managers, HRDs, training managers and career managers within our internal training centres.
Can you share some concrete Shortways use cases in Oracle HCM Cloud?

What lessons have you learned from implementing a Digital Adoption Platform?
Alexandra: You also need to ensure consistency in the guidance provided to various user profiles. There are only two of us managing Shortways.
The tool is also subject to Oracle updates, so you need to monitor changes and update help content accordingly.
What recommendations can you share after three years of use?
During the project phase:

Integrate Shortways from the start to anticipate user support needs

Prioritise high-value processes

Adapt help content to user maturity (strict guidance initially, then informative only)

And of course, to retain the initial training on the tool, with Shortways then serving to remind users of the correct processes and best practices.
In RUN phase:

Limit the number of admins to maintain consistency

Adopt an agile and evolving approach: continuously adapt support based on feedback, recurring errors and tool updates

Share best practices across all Oracle modules

Use Shortways back-office indicators to spot unanswered questions and develop missing content
What benefits and results have you observed with Shortways?
Admittedly, we cannot identify Shortways’ share in this figure, because Shortways is part of a whole range of support measures and actions taken to bring these figures down.
Laetitia: It definitely helps respond to user queries quickly, leading to better guidance, understanding and tool usage.
What’s next for the project?
The next challenge is to scale Shortways to support future rollouts, like in Poland from June 2026.
Many new use cases remain to be explored, especially with Oracle’s upcoming switch to Redwood Admin pages and onboarding new employees.
