Digital assistants can do a lot of things but powering them requires a lot of investment and time. Arriving with a solution like Shortways and its Starter Kit of content that you can simply add to as you go along by creating specific content is a very important guarantee.
Context & Stakes
Facilitate the adoption of new HRIS tools after the acquisition of the Soufflet group
This massive expansion set new challenges in terms of talent management, notably the integration and harmonization of the various pre-existing HR systems within the two entities.
A functional audit to identify the Group’s HRIS solutions of the future made it possible to select Cegid’s RHPI and Talentsoft solutions. A change management strategy therefore had to be put in place.
The project presents 3 stakes:
– Harmonize and rationalize HRIS tools following this major acquisition
– Ensure the deployment of Cegid Talentsoft and its adoption by both existing and new populations
– Simplify the use of tools for users and HR teams, and gain agility in their maintenance to adapt to the changing needs of the Group
Solution
Integration of Shortways Assistant into Cegid Talentsoft to support users
The InVivo group notably used these Shortways features:
– Interactive and adapted step-by-step instructions to guide current and new agents through the screens: introducing the home screen, accessing evaluation history, etc.
– Notifications to emphasize certain specific fields without weighing down the page.
– Contextual help to describe the home page blocks by mouse over.
– The content search bar so that users can easily find content created by entering keywords.
– The FAQ to answer users’ most frequently asked questions in various formats: links redirecting to the intranet, screenshots, replays of launch webinars, PDF files, etc.
Benefits
- Helping users get to grips with the tools thanks to content
- Relieving the burden on support teams
- Continuous improvement through data analysis
Ease of handling, relief of support and continuous improvement
Analyzing Shortways’ reporting data allowed InVivo to fully understand Assistant usage trends and make the necessary adaptations by comparing content created and searches performed in the search bar.
« In a context of continuous improvement, we cannot claim to improve without data. The Shortways dashboard allowed me to analyze the results on the first panel of targeted users: 76% interacted with the assistant, including 65% historical InVivo who were already familiar with the Cegid Talentsoft environment, and 93% historical Soufflet who did not know the environment. This represents 7,000 clicks in total, 11 clicks on average per user. The assistant was therefore well used by our populations. », Sébastien Huguier, Digital Training Project Manager at InVivo group.
