Ensuring the adoption of Lizzy (Cegid Talentsoft)

The real differentiator in this project—saving time and ensuring high efficiency—was the responsiveness of the Shortways team. Whether it was our dedicated consultant or a member of the technical team, no one ever hesitated to rewrite a line of code or reconfigure something for us to ensure everything was truly perfect and aligned with our expectations.

Context & challenges

Centralising training at an international scale for the entire company

Facilitating the long-term adoption of the training tool

TotalEnergies, a major global player in the energy sector, deployed the Cegid Talentsoft platform as part of its digital transformation between 2019 and 2021 to optimise talent management and support HR teams through a comprehensive strategy.

During the rollout of “Lizzy”, a significant change management and communication initiative was undertaken. However, as the initial key users moved within the organisation, a knowledge loss was observed.

At the beginning of 2023, a satisfaction survey highlighted low usage of the platform and a loss of user habits, despite training efforts. Furthermore, operational guidelines shared on SharePoint were downloaded locally, making them unavailable for updates.

The project, therefore, presents three key challenges:

Implementing a comprehensive and sustainable support strategy to keep up with ongoing tool developments

Supporting employees and ensuring continuous adoption of the platform

Simplifying and centralising access to resources

Solution

Integration of Shortways into Cegid Talentsoft.

Integrating the Shortways Assistant into the training platform for 80,000 users

To ensure effective support through the continuous evolution of the Lizzy platform, the TotalEnergies Learning Solutions team leveraged several key Shortways features:

Interactive step-by-step guides to help employees with frequent actions, such as signing up for training, checking their history, or navigating the course catalogue.

Notification bubbles, incorporating interactive videos to introduce users to new features and essential tips upon their first login.

FAQs, addressing common user questions in various formats: videos, PDFs, PowerPoint presentations, and hyperlinks.

Contextual assistance, which activates on hover to explain different screen elements and streamline the user experience.

Search bar, enabling users to quickly find relevant support materials using specific keywords.

Benefits

  • Easier tool usage
  • Increased user autonomy
  • Improved user experience

Easier use, stronger support, and an enhanced user experience

Thanks to the integration of Shortways into Lizzy, TotalEnergies employees benefit from real-time assistance, with interactive step-by-step guides that are constantly updated.

« Shortways has helped improve the user experience by making the platform easier to use », says Hervé Gest, Head of Training Tools & Ecosystem Department.

The analysis of Shortways’ reporting data played a strategic role in identifying unmet needs within the platform, based on user search queries. This allowed the TotalEnergies Learning Solutions team to adjust and optimise the available content.

« Whether a company interested in Shortways is a large corporation like us or a small SME, it doesn’t matter – it’s a solution that meets everyone’s needs. », concludes Nawel Barissoule, HRIS Project Manager.
