Development of a programme to digitise all processes

Digitizing processes and ensuring the adoption of a decentralized HRIS

VINCI Construction, a global leader in construction, implemented the Oracle HCM Cloud platform in 2020 as part of its programme to digitise all its HR processes and avoid duplicate data entries.

In July 2021, the company identified the need for a contextual assistance tool and initiated its first discussions with Shortways.

By autumn 2022, an initial implementation of Shortways was completed for the Personnel Administration module. One year later, following very positive feedback on this first deployment, the solution was extended to the Training module.

The project thus addresses three main challenges:

  • Resolving difficulties faced by HR users in adopting Oracle,
  • Reducing the number of frequent and critical data entry errors in HR processes,
  • Developing contextual, real-time support within the tool for users.

Solution

Integration of Shortways into the Personnel Administration and Training modules

Integration of the Shortways Assistant into two modules

To ensure effective support throughout the evolution of their Oracle HCM Cloud system, the teams at VINCI Construction notably relied on the following Shortways functionalities:

Interactive step-by-step guides, to assist employees with frequently performed actions.

Notification bubbles, to help employees correctly complete fields with legal and/or social reporting implications, or to broadcast seasonal messages—such as end-of-year reminders encouraging the entry of completed training.

Contextual help, to support users who may be disoriented following an interface update, especially for time entry screens, or to prevent employees from omitting required information.

The search bar, to enable users to easily find support content using specific keywords.

Thanks to the integration of Shortways within Oracle HCM Cloud, VINCI Construction’s employees benefit from real-time guidance, with contextual help that is continuously updated.

By embedding Shortways right from the start of the project, the team was able to prioritise high-value processes and tailor the guidance bubbles to the users’ level of maturity, ensuring accurate data entry.

This also enabled best practices to be shared across modules during the RUN phase.

This support contributed to a reduction in the number of tickets received by the team: « We’ve observed a decrease not only in the absolute number of tickets but also in their severity. For instance, there has been a 62% drop in incidents raised during the first six months of 2025 compared to the same period in 2024, just for the Training module. » says Alexandra Pansier, HRIS Manager for the Training domain at VINCI Construction.
